Privacy policy
This Privacy Policy explains how keepfound LLC ("keepfound," "we," "us") collects, uses and shares personal information. It covers our website at keepfoundmultifamily.com (including the waitlist), our app at app.keepfound.ai, and emails and support. keepfound is a business tool for multifamily operators in the United States. It is not intended for consumers or for anyone under 18.
1. Who is responsible
keepfound LLC, a California company, decides how personal information about our website visitors, waitlist members and account users is handled. When a customer adds information to the app about its business, properties or team, we handle that information on the customer's behalf and under our Terms of Service.

Customer business data is mostly information about properties and businesses, not people. If you add personal information to it, such as a contact name, we treat it as described here.
3. How we use it
- To provide keepfound: creating and securing accounts, running scheduled searches and building your reports.
- To send service emails, such as login links, password resets, invites, receipts and notices about your account or these policies.
- To bill you, through Paddle.
- To answer support requests.
- To keep the service secure, prevent abuse and fix problems.
- To understand how our website and app are used and to improve them.
- To send waitlist updates and occasional product news. Every marketing email has an unsubscribe link.
- To measure and improve our advertising, using the analytics and advertising cookies on our marketing website (not the app).
- To meet legal obligations and enforce our Terms.
We may access your account when you ask for help or when we need to fix a problem. We may also create de-identified, aggregated data from use of keepfound, such as industry benchmarks. That data does not identify you, your company or your properties, and we may keep and use it after your subscription ends.
4. AI search tools
keepfound works by asking AI search tools, including ChatGPT (OpenAI), Perplexity and Google, questions about apartment markets and communities, such as which communities they recommend in a neighborhood. We ask them directly or through search-data providers that run the questions for us. Those questions can include the names, addresses and features of communities you track. We do not send your name, email address, login or billing details to these tools or providers. Their answers are stored in your account. The providers handle the questions under their own terms and privacy policies.
5. Who we share it with
We share personal information only as described here. We do not sell personal information for money. Our service providers may use it only to provide services to us. Customers can ask for a current list of our service providers at privacy@keepfound.ai.

We may also share information:
- with other users on the same keepfound account, who can see the account's data;
- with professional advisers, such as lawyers and accountants;
- when the law requires it, or to protect our rights, users or the public;
- with a buyer or successor if keepfound is sold or merged, under this policy.
Some state privacy laws treat advertising cookies as "selling" or "sharing" personal information. You can turn these off at any time; see section 7.
6. How long we keep it
- Account and customer business data: while your subscription is active, then deleted within 90 days after it ends, unless you ask us to delete it sooner. You can download your reports as PDFs at any time while your subscription is active.
- Billing records: as long as tax and accounting law requires. Paddle keeps its own records.
- Waitlist details: until you unsubscribe or ask us to remove them, or until we no longer need the waitlist.
- Logs and security data: for a limited period, usually no more than 12 months.
We may keep information longer where the law requires or to resolve disputes.
7. Your choices and rights
- Access, correct, delete or export. Email privacy@keepfound.ai. We'll verify your request and reply within 45 days. If you're a user on a customer's account, we may refer your request to that customer.
- Marketing email. Use the unsubscribe link in any marketing email. You'll still get service emails while you have an account.
- Cookies. Use "Cookie settings" in our website footer to decline or withdraw consent to analytics and advertising cookies. We treat a Global Privacy Control signal from your browser as a request to opt out of them.
- California and other state rights. Depending on where you live, you may have the right to know what we collect, to delete or correct it, and to opt out of the sale or sharing of personal information or targeted advertising. You may use an authorized agent. We will not discriminate against you for using these rights.
8. Security
We use encryption in transit (HTTPS), access controls, and reputable providers that protect the data they host. No system is completely secure, so we can't guarantee security. We'll notify you if a breach affects your information, as the law requires.
9. Where your information is processed
keepfound is offered only in the United States, and we store our database in the United States. Some of our providers may process information in other countries under their own safeguards.
10. Children
keepfound is for businesses and is not directed to anyone under 18. We do not knowingly collect children's information.
11. Changes to this policy
We'll post any changes on this page and update the effective date. If a change is material, we'll also notify account holders by email or in the app.
